Let’s Begin!
Step One
Collect all required documents listed below.
For applicants who intend to file electronically:
When naming your file, please choose a name that clearly defines the contents, such as: IRS Determination Letter_(Your Organization Name).
All Required Documents sent via email need to be in PDF Format. Do not send pictures of documents.
Required Documents:
IRS Determination Letter
Most recent 990 Tax Return (2024)
Monthly (12) and Annual (1) Income and Expense Reports (2025)
Most recent (1) Annual Profit and Loss Statement (2025)
Proof that previous monies were spent on requested purposes (Receipts, Invoices, bids, purchase orders, Pictures, etc, if applicable)
Supporting Document for this year’s request (If applicable: Bid, Estimate, Purchase Order, Bid, Project Budget, etc.)
Budget for any complex projects or undertakings (if applicable)
Step Two
Complete the Grant Application.
You have the option to complete the application on your computer with Fillable PDF or by hand with a Standard PDF. Instructions and a link for both are included below. You will also find common application questions and answers at the bottom of this page.
If you are unable to find the answer you need, please contact Tess Sauthier at (361) 247-0560, prior to submitting your proposal.
The Fillable PDF allows you to submit your answers directly to the form.
Follow these steps to complete the form:
Answer all questions
Sign the form on Page 3 by typing in your name
Save it to your computer (use “Save” icon located at the top-right corner of the pdf form) with an identifiable name, such as:
Grant Application_(Your Organization Name)
The Standard PDF is NOT fillable and must be filled out by hand.
Follow these steps to complete the form:
Answer all questions
Print a copy to retain for your records (to print, use the “Printer” icon located at the top-right corner of the pdf form).
Sign the application (Page 3)
If you will be filing your proposal electronically, you will need to scan and save a copy of your signed application to your computer.
Step Three
Submit Your Grant Proposal Via Email or US Mail.
Once you have completed your application, it is time to double check your work before submission.

Sign the application
Remember: Once Your Application is Submitted, Your Proposal is Closed
If you are ready to submit your Grant Application with Required Documents via email, please follow these final steps.
Prepare your email:
Your subject line should state: Grant Proposal_(Enter Your Organization’s Name)
Attach your Grant Application and Required Documents (PDF Format)
Email complete proposal to: grants@rockportcommunityshop.com
If you will be submitting your Grant Application with required documents via US Mail, please use the address below:
(Mailed Grant Proposals must be RECEIVED by January 15th, 2026)

If you are a first-time applicant, you can simply enter “N/A” or “0” as an answer, depending on whether the question requires a statement or dollar amount.

No. The Proposal and Required Document attachments must be submitted at the same time. Proposals without all Required Document attachments will automatically be declined.

No. Once you Proposal is submitted the Grant Committee will not respond to inquiries.

Yes. Questions will only be answered before your Proposal is received by the Committee. For questions prior to submission, Contact Tess Sauthier at (361) 247-0560.

No. Retyped Proposal Forms will not be accepted. You must use the Proposal Form in the Grant Proposal Packet.

Yes. If you received a previous grant, you must include proof that the money was used as indicated in the previous proposal. It must be attached to this year’s Grant Proposal. If it is not attached to this year’s proposal, your Proposal will automatically be declined.

Yes. All required attachments must be submitted each year.
